Remotix Global Limited("Remotix", "we", "us", "our") is a company incorporated in Bangladesh, operating as a managed remote workforce partner for international clients. Our registered office is in Khulna, Bangladesh.

2. What Data We Collect

We collect the following categories of personal data:

• Client contact data: Name, email address, company name, country, phone number.
• Talent applicant data: Name, email address, professional background, CV/resume, skills, and employment history.
• Employee data (placed talent): National ID, employment contract details, bank account for payroll, salary information, performance records.
• Website usage data: IP address, browser type, pages visited, session duration (via analytics cookies, with consent).
• Communication data: Emails, form submissions, and correspondence with Remotix.

3. How We Use Your Data

We process personal data for the following purposes:

• Responding to enquiries submitted through our contact form (legitimate interest)
• Sourcing, vetting, and placing talent for client engagements (contract performance)
• Managing employment relationships, HR administration, and payroll disbursement (legal obligation + contract)
• Complying with AML, KYC, and financial regulatory obligations (legal obligation)
• Sending service-related communications (legitimate interest)
• Improving our website and services via aggregated analytics data (consent)

4. Legal Bases for Processing (GDPR)

For EU and UK data subjects, we rely on the following legal bases:

• Article 6(1)(b) — Contract: Processing necessary to fulfil our service agreements with clients and employment contracts with talent.
• Article 6(1)(c) — Legal obligation: Processing required by Bangladesh law, UK/EU law, or applicable financial regulations.
• Article 6(1)(f) — Legitimate interests: Responding to enquiries, improving services, and fraud prevention.
• Article 6(1)(a) — Consent: Analytics cookies and marketing communications (where applicable).

5. Data Transfers to Third Countries

Remotix is based in Bangladesh, which is not currently recognised by the EU or UK as providing an adequate level of data protection. For EU and UK client engagements, we implement the following transfer mechanisms:

• EU clients: EU Standard Contractual Clauses (SCCs) — Module 2 (Controller to Processor), 2021 version.
• UK clients: UK International Data Transfer Agreement (IDTA), adopted March 2022.

These safeguards ensure your data is protected to European standards even when processed in Bangladesh. Copies of our SCCs and IDTA are available on request from compliance@remotixglobal.com.

6. Data Sharing and Third-Party Processors

We share personal data with the following categories of third parties:

• Our clients: Talent profile data is shared with clients during the matching and interview process.
• Payroll processors: Bank account and salary data shared with our payroll banking partner.
• Cloud infrastructure: Data hosted on secure cloud infrastructure (currently AWS or equivalent), with data processing agreements in place.
• Form processing: Contact form submissions processed via Formspree Inc. (US) under their Privacy Shield / SCC framework.
• Analytics: Anonymised usage data via Google Analytics 4 (with consent).
• Legal and regulatory: Data disclosed to regulators or law enforcement where required by law.

We do not sell personal data to any third party.

7. Cookies

We use the following categories of cookies:

• Strictly necessary: Session management and security. Always active.
• Analytics (opt-in): Google Analytics 4 — page views, session data, Core Web Vitals. Activated only with your consent.
• Marketing (opt-in): Not currently used. If introduced, consent will be obtained.

8. Data Retention

We retain personal data for the following periods:

• Client commercial records: 7 years (legal/tax requirement)
• Employee and payroll records: 7 years (tax compliance)
• Unsuccessful recruitment applications: 12 months
• Contact form submissions: 24 months
• Website analytics: 26 months (GA4 default)

9. Your Rights

Under GDPR (and UK GDPR), you have the following rights:

• Right of access: Request a copy of personal data we hold about you.
• Right to rectification: Request correction of inaccurate data.
• Right to erasure: Request deletion of your data (subject to legal retention requirements).
• Right to restriction: Request that we restrict processing of your data.
• Right to portability: Receive your data in a machine-readable format.
• Right to object: Object to processing based on legitimate interests.
• Right to withdraw consent: Where processing is based on consent, withdraw it at any time.

10. Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure, or destruction. These include encrypted storage, access controls, and regular security assessments. However, no internet transmission is 100% secure.

11. Children

Our services are not directed at individuals under the age of 18. We do not knowingly collect personal data from children. If you believe we have received data from a child, contact us immediately at compliance@remotixglobal.com.

12. Changes to This Policy

We review this Privacy Policy at least annually and following any significant changes to our data processing activities. We will notify active clients of material changes by email. The current version is always available at remotixglobal.com/privacy-policy.
